ROLE PURPOSE
The Group Sales Executive supports the full lifecycle of group and events business—from initial enquiry and contracting through planning, execution, and post‑event follow‑up. The role ensures the optimization of room, meeting space, banqueting, and food & beverage revenues, while delivering consistently high service standards in line with W / Marriott Brand Standards.
SCOPE OF POSITION
Sales & Contracting (Group Sales Executive Focus)
- Respond to group enquiries from designated geographic markets to maximize room, meeting space, and banqueting revenue.
- Manage, negotiate, and convert group room and event business.
- Prepare and contract group agreements, ensuring alignment with hotel strategy and operational capabilities.
- Conduct site inspections for prospect, tentative, and confirmed group business.
- Build and maintain strong relationships with meeting planners, corporate clients, organizations, GSOs, Convention Bureaus, and third‑party intermediaries.
- Apply negotiation skills and creative selling techniques to close the most beneficial business opportunities.
- Strive to meet or exceed individual and hotel revenue targets.
- Promote MI Leads as a cross‑selling and referral tool.
Event Planning & Operations (Convention Services Coordinator Focus)
- Monitor and manage all contractual agreements related to rooms, meeting space, food & beverage, and concessions.
- Coordinate all group / event contract requirements with operational departments.
- Communicate all event details clearly and accurately to ensure successful execution.
- Manage BEOs, Group Fact Sheets, rooming lists, deposits, and event timelines.
- Maximize food & beverage revenue through up‑selling and affiliate business.
- Participate in site visits, pre‑con meetings, BEO meetings, group recap meetings, and post‑con exit interviews.
- Verify credit information with Finance at turnover.
- Maintain strong client relationships throughout the event lifecycle.
Systems & Tools
- Ensure full and accurate use of Opera Sales & Catering and PMS systems, including:
- Room and function space availability
- Booking grids and event requirements
- BEO creation and updates
- Forecasting and reporting accuracy
Guest & Stakeholder Experience
- Deliver prompt and professional responses to guest and client requests within established timelines.
- Proactively manage challenges, guest concerns, and operational limitations.
- Gather feedback from clients and guests to continuously improve service quality.
- Demonstrate high energy, professionalism, and brand‑aligned communication at all times.
Self‑Management & Professional Conduct
- Take ownership of daily tasks, priorities, and decision‑making within established guidelines.
- Manage time effectively to meet deadlines and business needs.
- Participate in required trainings, departmental meetings, and Marriott programs.
- Demonstrate awareness of body language, communication style, and collaboration.
- Contribute to special projects as directed by the Director of Sales or Director of Groups & Events.
- Participate in annual Engagement Survey.
Hours of Work
- Typical working hours range between 09:00–17:00 or 09:00–18:00, Monday to Friday.
- Flexibility is required depending on business levels and evening or on‑site event activity.
Job Knowledge, Skills & Abilities
- Ability to speak, read, write, and understand the primary workplace and market language(s)
- Up to 2 years of luxury hotel sales or events experience preferred
- Strong analytical, organizational, and time‑management skills
- Excellent written and verbal communication skills
- Ability to work independently and as part of a team
- Strong attention to detail and operational awareness
- Proficiency in Microsoft Word and Excel; solid knowledge of Opera Sales & Catering and PMS systems
