Job Description
The Reservations Coordinator manages all aspects of the reservations process, acting as the primary point of contact for guests making bookings. This involves confirming reservations, addressing inquiries, and coordinating with other departments to ensure a seamless experience for guests.
Duties and Responsibilities:
Possess comprehensive knowledge of all hotel services, facilities, and amenities.
Respond promptly and accurately to inquiries regarding room rates, hotel outlets, and room locations.
Maintain full proficiency in the use of reservation systems and related procedures.
Handle reservation requests with strong listening and communication skills to gather the necessary details for completing bookings.
Accurately post and record advance deposits, ensuring proper documentation.
Manage rooming lists and group blocks, clearly noting any special requests and billing instructions.
Organize and maintain reservation correspondence and files, ensuring they are up to date and properly arranged.
Understand the functions and interdepartmental relationship between Reservations, Front Desk, Sales, and Accounts.
Accommodate and document guest special requests efficiently and accurately.
Clearly communicate guarantee and cancellation policies to callers.
Describe room types and highlight features and amenities to assist in guest decision-making.
Apply effective sales techniques to maximize reservation conversions.
Provide detailed information about hotel facilities and services in response to guest inquiries.
Assign and communicate confirmation or cancellation numbers to callers, offering to send this information via email or fax.
Implement up-selling strategies and sales initiatives to optimize hotel revenue.
Qualifications
Qualifications:
1–2 years of experience in a Reservations Agent position
Proficient in English; French language skills are an advantage
Capable of working and communicating effectively in a multicultural environment
Comfortable in a fast-paced setting with strong multitasking abilities
Maintains composure and professionalism under pressure
Familiar with OPERA reservation system
Demonstrates excellent verbal and written communication skills in English and/or French
Enjoys creating tailored solutions to meet guest needs
Displays a positive, proactive "can-do" attitude
Flexible with work schedules, including weekends and holidays
Upholds a consistently professional, discreet, and ethical approach
